Minta Pandangan HR Person.. !

Assalam. Aku tak tau boleh up thread kt sni atau tak. tp aku cuba. alkisah nya aku baru join satu company as HR. company ni tak pernah ada HR sebelum ni. So officially aku orang pertama sebagai HR di sini. Even tho aku dh 9 years keje as HR tapi last2 aku sangkut jugak

Aku taknak cakap ini sebagai satu masalah, just nak minta pandangan dan pendapat terutama bagi forumer yang berkerja as HR jugak.

Untuk drive satu company yang tidak pernah ada HR apa patut aku start? FYI, aku dah kerja hampir dua minggu di sini. aku dah buat beberapa report seperti:

1) attendance report - check AL dorang. AL dorang memang terabur pastu ada yang takde form. aku tak salahkan dorang sebab dorang buat tak HR so benda2 ni bukan bidang tugas dorang pun. aku sangkut kat sini sebab aku takde lagi system attendance dorg dlm PC aku. semalam aku tanya superior aku dia cakap dia tunggu orang IT install utk aku. tp smlm orang tu dtg, smpi hrni aku xnmpak pn dia install bnda tu.
2) employee database - aku sangkut yang ni. sebab nye banyak benda yang aku tak dapat info lagi. contoh macam access to personal file. aku nk create satu master list employee database yang ada semua details employee memandangkan dorg takde HRIS.
3) aku create satu report untuk hiring/ recruitment. yang ni on-going process kan klu ada opening, so no problem.
4) aku nk create OT report tapi aku tak tau ada staff yang entitled OT ke tak.

superior aku Finance Director, so dia memang 100% fokus kt accounting ng dept accounts. dia mme takde bagi aku kje or suruh buat apa2 lagi. so aku datang keja aku kena pk sdri apa patut aku buat.
aku takut lama2 aku dh takde xtau apa nk buat bila dtg kje. sekarang pn byk jugak aku dok access benda2 lain sambil2 update repott2 yg aku dh buat tu.

soalan aku, apa lagi yang patut aku buat/ create untuk report2 dalam HR ni. aku nk create lateness report tp takde lg system nye. FYI, company ada byk dlm satu group of companies. so aku macam jaga semua company2 ni. total employee dalam 70+ untuk company aku sje.

wow besar jugak company sis keje. Lebih kurang company iols dulu.  Tp company iols dulu hr ada 3 org. Manager, senior exec ngan hr assistant.  Iols accounting tp tau sikit2 la pasal hr.

Gila la sis sorang nak handle ramai staff mcm tu. mesti caca merba. Employee hand book mesti xder kan. Mcm mana sis nak tau apa yg diorang entitle utk claim. Iols generalise kan list hr yg i tau la.

1) employee master  data base file. - info pasal staff, alamat, family diorang, offer letter utk position apa,  gaji, epf, socso, no cukai, benefit yg diorang entitle

2) attendance & sistem utk apply cuti. Penting nak detect staff yg lambat ke ponteng ke missing in action ke and nak kontrol cuti diorang

3) payroll, ot & statutory body- penting sis nak kira gaji staff. Kot ada yg kena unpaid leave ke, ada yg claim ot ke. Pastu bulan2 nak bayar epf, lhdn,socso, zakat ke, or potongan lain2 loan bank ke ptptpn

4) perfomance appraisal- evoluation form utk tentukan performance staff, diorang punya kpi archieve ke tak. Utk kira annual increment ngan bonus ke.

Rasanya yg jer kot. Pastu u kena update  staff direcktori. No fon diorang and extention. Lain2 tu  mcm hr tempat i tu tiap2 bulan diorang akan bg voucher or hadiah utk birthday boy n gurl for the month.

that's y ai tgh hapdet employee data base yang ai create ni. nk msukkan bnda alah tu sume mst dr form dorg kn. mslhnye ai takde lg access to PF dorg tu yg frust tu. yg OT ,statutory bodies tu sume rs nye finance director ni yg buat lg kot. i pn xsure dorg ni ada pakai system tak utk payroll. ssh jugak nk communicate ng dia ni. mcm xkisah lgsg je ai ada bt kje ke x. kang ai online je dr pg smpi ptg kang mkn gji buta lak

Haah mmg busy lately sis... btw tt ni hr manager sis mesti la expert. Inn kuli cabuk jer.

Btw tt, total 70 hc or 700 hc? Aku xdan nk share skrg, mlm satgi la. but briefly yg aku bleh ckp, put up a plan what the company wants to setup. Kna la plan dulu & try connect dgn few companies in the same industry to get to know the practice. Then hg bleh bt benchmark. Tbc...

aku bukan bidang HR tp aku nampak satu cara yang senang ialah ko buat satu standard form personal details..
ko buat satu perjumpaan khas dengan semua kakitangan.. sambil berkenalan, sambil submit form tu kat depa..

pastu suruh diorg hantar form tu masa tu jugak atau bg tempoh..

bukan apa, dah alang2 semua mende ko baru nak create kan..

drpd form diorg tu, baru ko check balik dengan finance terutama bab gaji, finance mesti tau details bab gaji pekerja kan, if x cemana dia nak prepare gaji.. sebab dr gaji ko boleh tentukan kelayakan OT diorg dll yg berkaitan..

pasal form cuti tu pun better ko create dan start let say bulan 9.. masa perjumpaan tu brief sekali apa mende kehendak ko sbg executive HR termasuk kad perakam waktu.. kalau tkut salahguna, ko mntk bajet dengan finance utk tukar sistem kepada thumbprint, konfem xleh tipu.. just make sure diorg thumb in and thumb out jerlaa, tu pun boleh detect every last month boleh print out details, n suruh diorg sign attendance tu.. mana2 yg lompong tu kenalaa justify.. dr situ boleh settle banyakkk masalah ko.. boleh tau diorg ada keje ot ke tak.. x kira jam berapa balik mesti thumbprint kan..

oh yer, lepas briefing tu buat makan2 la sikit belanja nasik lemak bungkus, rm1 dengan teh o pun dah cukup buat staff gembira..
yg ni boleh try mntk bajet dengan finance laa..

ni pendapat aku jerlaa, pendapat logik aku.. kikiki.. semoga berguna dan

psl form tu mmg aku kena jmp dorg la nk kena distribute form details baru. yg psl lanje mnum2 tu, ng briefing tu xdaya aku nk buat lg. diluar bidang kawalan aku. kang ckp aku langkau kuasa lak

psl system clock in out tu dh mmg ada attendance system di sini cuma nye blm di install lg di pc aku. hmm... nk kena ulang ckp ke kt superior aku ni. kang tarik tinge kang

Company tt ni bukan newly setup so stgh benda tu dah ada.Cuma maybe tak put in writing & standardize as per normal practice.... dr apa yg aku baca aku rasa this company is expanding so depa nk establish proper HR practice. Maklumla headcount akan bertambah, even very small numbers. So tt you're HR practitioner for 9 years, what is your plan to establish & standardize your company HR? Think strategically okay, baru bleh jd HR professional hang ni masuk terus nk operational ala2 fire fighting jahhh........... ni aku bg guideline skit... cer buat dulu.

1. Establish plan & set expectation
-have a discussion with your manager/HOD & put up their expectation.

2. Gather inputs
- Gather inputs of the  current practice (handbook/policies, C&B, hiring, training, IR/ER, administrative  such as attendance, payroll, P-file)
- mana nk dpt semua kat atas? Observe, check previous records, documents, company shared drive, interview your manager, other managers, employees.
- make sure you develop the template (bleh buat guna excel) when you collecting your inputs/data.
- industry benchmark. connect la dgn HR len

2. Identify the area that you have to work on by mapping the expectation & inputs that you have in hand.
- establish your project time frame, resources incase you need help & budget if occur.

yup aku dh discuss sedikit ng superior aku smlm. sume reports aku tu in progress in excel la. tp aku still need the attendance system to be installed in my pc so aku sng nk refer. psl lelain tu aku dh mtk kt superior aku and dia pn dh msukkan sikit2 brg HR kt folder aku.

tq for ur opinion bebeh. pasni pape info or ideas pls let me know

Betul tu. D samping tu boleh draft email unt inform T&C untuk dpt full salary. Contoh, if punch card lewat 1 jam so salary deduct rm10 and 1 jam berikutnya dikira half day terus. Pastu boleh details kan sekali syarat nak apply cuti mesti hantar form berapa hari sebelum date yg staff nak apply. Lagi kalo ada claim kena submit bila.
